Operational Support Specialist - Executive Office (460)

Your job is to create exceptional experiences for employees, clients and friends of Rashke Holdings by managing the following assets: our two vacation homes, our seats and suite at sports and cultural events, and our charter aircraft. This is very much a service position. You’ll need to have the charm and can-do attitude of a hotel concierge combined with the record-keeping skills of an accounts payable clerk. What You’ll Do In This Position

Manage Guest Stays at Two Vacation Properties: Rashke Holdings has vacation homes in Three Lakes, Wisconsin and Vail Colorado. Working chiefly from our Madison, WI headquarters, you will oversee the upkeep of those properties (landscape, cleaning, etc.), coordinating remotely with vendors in those areas. You will also assist designated guests by providing keys, directions, check-in and checkout assistance, and any information or special requests necessary for an enjoyable stay. You will also manage all records related to the properties.

Manage tickets to sports and cultural events: The company provides clients, employees and others with UW Madison football, basketball and hockey tickets. You will coordinate the distribution of those tickets (and sometimes seek out recipients) and arrange for recipients to receive tickets and other materials (parking passes, etc.). You will also manage the company suite at the Kohl Center by coordinating with UW Athletics, arranging for an on-site suite captain, making sure the suite is stocked with the appropriate food and drink, and submitting suite and ticket invoices after the event. In similar fashion you will also manage the distribution of company tickets to events at Overture Center.

Manage the air charter flights: You will oversee air transportation for employees and others on a private aircraft. Working with vendor, you will help arrange for flights, submit passenger lists, make sure in-flight meals/snacks, etc. are available onboard, and arrange ground transportation and accommodations at destinations. You will also document plane maintenance, and collaborate with the Financial Operations Manager to keep tax and financial records for all plane-related expenses.

What You’ll Need to Bring to This Position

  • 3-5 years of experience in business management, executive support, real estate management, or hospitality, plus an Associate degree or the equivalent in experience
  • A high level of proficiency in Microsoft Office Suite and Outlook
  • Excellent written and verbal communication skills
  • Versatility, flexibility, professionalism—an ability to anticipate needs, plan effectively and go above and beyond to create a flawless and memorable experience
  • A winning way with people. Customer service and hospitality are essential
